Our promise

You don't need to be an events expert. We are.

A successful event comes from expertise, careful planning and the right solutions. We find out what your event really needs, take care of the details and build a whole where quality, budget and practical delivery are in balance.

We don't offer as much as possible. We offer what your event needs to succeed.

Where we start

A successful event doesn't start from an equipment list

Many event organisers have to ask for quotes without knowing exactly what the occasion needs: how many speakers, what kind of lighting, how large a screen or who is responsible for what. That isn't the client's job.

It is our job to find out what is needed, ask the right questions, anticipate possible problems and recommend solutions that fit the purpose. Eventlink Promotions has worked in the industry since 1993 – this promise describes how that experience shows in our work.

Seven principles

  1. Expertise and anticipationWe also spot the things you haven't thought of.
  2. Reliability and responsibilityWhat we agree on is documented, and we make sure it happens.
  3. Attention to each personThe event is planned for the people who will actually attend.
  4. Quality and the right scaleNo under-sizing, no unjustified over-sizing.
  5. A fast, clear and realistic quoteEasy to understand, itemised and in proportion to your budget.
  6. Your interest before upsellingWe only recommend what we can justify.
  7. Responsibility and the environmentTransport, energy, materials and food waste are part of the planning.

What we commit to

Seven promises for every production

01Goals

We understand your goals before we offer a solution

Every event is different. That is why planning starts with understanding the client's needs and goals, not with selling a ready-made package.

We find out the nature of the event, the participants, the programme, the venue and the budget. You don't need to know event technology or every detail of the production. Our job is to find solutions that work and explain them clearly.

In practice

  • We first ask what the event should achieve and who it is for.
  • We map the number of participants, the outline of the programme, the venue and the budget.
  • We check what the venue can provide: power, structures, acoustics, access routes and set-up times.
  • We explain the solutions in plain language – without industry jargon.
02Technology

The right technology for the right purpose

The quality of event technology isn't measured only by the amount or power of the equipment.

Good sound means clear speech and audio that suits the nature of the event. Lighting should support the atmosphere, visibility and safety of the space. Video technology has to fit the size of the venue, the viewing distances and the material being shown.

We design the technical setup around practical needs. We also take into account acoustics, compatibility between systems, advance checks and the backup arrangements the event requires.

  • Sound

    Clear speech in every seat

Speaker placement and power according to the space, the audience and the programme. Acoustics are taken into account.

  • Light

    Atmosphere, visibility and safety

Performers can be seen, the space feels right and walkways stay lit.

  • Video

A screen that can be seen from the back row

Screen size and placement according to viewing distances, the space and the material shown.

03Anticipation

Expertise shows in anticipation

Good event production takes care of things a participant may never notice.

Schedules, safety, venues, transport, suppliers and technology all have to work together. Careful planning helps to spot problems before they happen.

What we agree on is documented, and we make sure it happens. You know what is included, who is responsible for what and how the arrangements are progressing. Any uncertainties and changes are dealt with openly.

In practice

  • A running order that shows every party their own responsibilities.
  • Advance checks of the technology and the venue before the event.
  • Backup arrangements for the parts that are critical to the event.
  • Safety: walkways, cabling, structures and emergency exits.
  • Subcontractors and partners are coordinated into one whole.

04Right scale

High quality doesn't mean unnecessary costs

Our goal isn't to build the biggest or most expensive event possible.

We help you understand which solutions are essential, where it pays to invest and where a simpler option will do without the event suffering.

Your interest before unnecessary upselling. We don't try to sell extra technology, entertainment or other services. If the venue's own equipment is enough, we tell you. We recommend solutions whose benefit we can justify through your goals and your participants' needs.
05Quote

A fast and reliable quote

The quotation stage should be clear for the client.

We gather the information we need and aim to give a realistic view of the costs as early as possible. You get a clear description of the services, what they include and any alternatives.

How a quote is built

  • Essential solutionsThe foundation
The technology, staff and services the event needs to succeed.
  • Optional extrasYour decision
Extras that improve the experience – itemised, so you can see how they affect the price.
  • Preliminary estimateClearly marked
If a cost still depends on open details, the quote says so.

A good quote is

  • Easy to understand
  • Clearly itemised
  • Based on your goals
  • In proportion to your budget
  • Realistically priced
  • Easy to compare
06People

People are an important part of every production

We take participants' special needs and the accessibility of the event into account.

This can mean, for example, step-free access, good sightlines, making sure everyone can hear, special diets, clear signage and enough breaks.

  • Step-free routes and accessible toilets
  • Clear view of performers and screens
  • Audibility and hearing aids
  • Allergies and special diets
  • Clear signage
  • Seating and breaks
  • Sound sensitivity and suitable volume levels
  • Language, interpretation and captions
Honestly about accessibility: not every venue is fully accessible. We promise to find out the needs in advance and tell you openly what can be arranged at each venue.

07Responsibility

Responsibility as part of event production

We look at the choices that affect the environment as part of the planning.

We are also developing a way to estimate the carbon footprint of events, so that the climate impact of different options can be compared better in the future.

Where possible, we take into account

  • Transport and travel
  • Energy use
  • Use and reuse of materials
  • Reducing food waste and catering options
  • Reducing waste
  • Using local services
  • Social responsibility
  • Financially sensible solutions
In development: event-specific carbon footprint estimates are not yet in use, so we don't present calculated climate figures for events. We will tell you when the method is ready and tested.

Examples of how we think

The examples describe how we work. The solutions for each event are planned case by case.

  • A speech event in an echoing hall

Louder sound doesn't fix echo – it often makes it worse. A better solution can be several smaller speakers closer to the audience, the right microphones and a sound check with the speakers before the doors open.

  • A presentation the back row can see

The screen size is chosen according to the viewing distance and the space. Sometimes two smaller screens at the sides serve the audience better than one large screen in the middle.

  • When the venue's own equipment is enough

If the venue's own sound system is enough for the programme, we tell you. Then we only bring what is missing – for example wireless microphones or technical support.

  • Light for atmosphere and safety

Atmosphere for the dance floor, visibility for the speaker and enough light on the walkways – in the same space, on the same evening.
